Accounting
The accounting module sits on the same data as the rest of the system, which is the whole argument for it being there. An invoice raised from a sales order already knows the customer, the lines, the prices and the tax treatment — there is nothing to re-enter and nothing to reconcile between two systems that disagree.
Customer invoices
Raise an invoice from a sales order and it inherits the order's detail. The order then carries an invoicing status, so partly billed orders are visible instead of being something you discover at month end. Invoices can also be raised directly where there is no order behind them.
Statements and age analysis
Statements show a customer what they owe and against which documents. Age analysis is the collections view — what is outstanding, and how overdue, across all customers. This is the screen for working out who to call before the month closes.
Credit notes
Credit notes reverse or reduce an invoice, with the reason recorded. Where a credit relates to returned goods it affects stock as well as the balance, so both figures stay correct.
Supplier bills
Bills record what you owe suppliers, matched against the purchase orders and receipts behind them. That match is what catches the invoice priced differently from the order you agreed.
Bank accounts, import and reconciliation
Bank accounts are defined once, then statements are imported rather than typed. Reconciliation matches imported transactions against invoices, bills and payments in the system, leaving you to deal with the exceptions rather than the whole statement.
Manual journals
For entries that are not a sale, purchase or payment — accruals, depreciation, corrections, opening balances — manual journals post directly to the ledger. They are logged like everything else, so a journal can always be traced back to who posted it.
Period lock
Once a period is closed and reported, lock it. Locking prevents back-dated entries from quietly changing figures you have already filed or shared with the bank — the single most useful control in the module, and the one most systems make optional.
Reports
Reports cover the standard financial views alongside operational ones. Every list view in the product exports to CSV or Excel, so anything you want to slice differently can go to a spreadsheet without a data request.
A note on accounts and stock
Because production and stock live in the same system, the cost side of what you make is not an estimate bolted on afterwards. Bills of materials roll costs up (see Inventory and purchasing), stock movements are recorded as goods move, and the ledger follows the same events.
